DOCUMENT SCANNING

We have the experience and resources to digitise any type of document you have, no matter the volume. Whether you have 1 box or 1,000+ boxes, we will take the time to manually prepare, scan, and index the documents following your exact project specification. We’ll be guided by your requirements in terms of turnaround times and all those small yet essential details such as colour scanning, tailoring every aspect of the project. We can even provide collection and box packing services taking the stress away from you.

LARGE FORMAT SCANNING

As part of our document scanning service, we can even digitise drawings, plans, and maps from A3 right to 4A0. To make it simple, if your document is up to 1.2m wide, we can scan it no matter what the length is! Using the latest equipment, we will digitise your documents into electronic images to scale, in black and white or colour, whichever option is preferred! Whether you have construction drawings, medical electrocardiograms, maps, architectural drawings or artwork, we have the scanning solution for your business.

MICROFICHE SCANNING

We’re often approached by businesses who have documents stored on historical archives of microfiche which need to be accessed urgently. We will asses your archive to identify whether these are 16mm, 35mm or COMBI fiche, and offer you a digital solution that meets required turnaround times and delivers the best quality image.

MICROFILM SCANNING

Microfilm was traditionally used to store scaled-down reproductions of books, newspapers and large maps. The transition to a digital archive has meant many companies have stores of microfilm with no system in place to access the required documents… that’s where Capital Scanning can help! We will capture the records stored on your microfilm and reproduce these into high-quality digital images.

FILE SCANNING

Having a digital archive consisting of thousands of PDF’s may not be the most convenient method of access for your business. With our file scanning service, we will scan the contents of each folder as 1 multipage PDF, and apply OCR to make the file text-searchable. This works exceptionally well with HR files, client files and accounts documentation relating to each financial year.

APERTURE CARD SCANNING

Along with microfiche and microfilm, aperture cards are also a type of microform once used to store historical documentation. Don’t worry though, we can scan these too!

ARCHIVE & BULK SCANNING

When it comes to archive documentation, there can be a huge mix of different sized documents. At Capital Scanning, we have invested in specialist scanners capable of scanning all sized documents and have the capability of processing up to 2,000 boxes per week.

MEDICAL RECORD SCANNING

We have invaluable experience working with the NHS scanning highly confidential documents including Lloyd George notes, x-rays, patient files, A&E Reports and more! We always make sure the security of your documents remains our top priority, and have numerous accreditations in place to scan medical records.

OUR PROCESS

Each project is tailored to suit your exact requirments. A standard process flow would be:

COLLECTION

We’ll collect the documentation from your office location whether you’re based in Central London or on the outskirts. To save your time and sanity, we can even provide boxes and box packing upon arrival.

CONVERSION

We’ll manually prepare all documents for scanning which includes the removal of paperclips, staples and any bindings. Afterward, a dedicated team will scan the records to your required output (JPEG, PDF, TIFF etc).

ACCESS

We can provide you with access to your records via an encrypted USB stick or SFTP (Secure File Transfer Protocol), whichever is preferred! We are currently working on a bespoke cloud-based system which is due to be launched shortly!

RETURN/SHRED

Paper documents can be physically returned to your office address, kept in a secure storage bureau in line with retention periods or authorised for secure shredding. A destruction certificate can be provided if required upon completion.

STORAGE  V  SCANNING

If you are storing your documentation in London, it is costing you more money than scanning them!

WHY SCANNING IS CHEAPER THAN STORAGE

A recent report by findalondonoffice shows a square foot of storage space in London typically costs between £68.00 (Canary Wharf) – £141.00 (St James) per sq ft per annum.

3 YEARS

Storing an archive box for 3 years is roughly the same cost as scanning an entire box. If you have to retain your documents for longer than 3 years then scanning these will save you money. Financial Records often have a 7 year retention period in line with HMRC policies alone!
